Privacy Policy

• Account data — Name, email address, phone number, company/school name and role. Provided when you sign up or are invited by an organisation admin.
• Student & parent records — Names, contact numbers, class, admission number, fee and transaction history that you enter into TrackFee for the purpose of fee management.
• Payment information — When a parent pays through a linked gateway (e.g. Razorpay) we record the transaction reference, amount, status and payment mode. We do not store card or bank credentials — those are handled by the payment provider.
• Device data — Limited technical data such as device model, OS version, app version and push notification token, used for delivery and diagnostics.

• Provide the service — Core features: managing students, recording fees, sending reminders, generating reports.
• Communication — Transactional emails (invitations, OTPs, payment receipts) and in-app notifications. We do not send marketing without opt-in.
• Security & compliance — Detect fraud, debug issues, meet legal obligations.
• Improve the product — Aggregated, de-identified usage analytics.

We do not sell your personal data. We share data only with service providers strictly needed to operate TrackFee:

• Zoho ZeptoMail — Transactional email delivery (invitations, OTPs).
• Razorpay / Cashfree — Processing online fee payments.
• WhatsApp Business API — Sending fee reminders to parents.
• Cloud infrastructure — Database and file hosting on Neon / Supabase / Vercel.

We keep your data for as long as your organisation uses TrackFee. If you delete an account, its personal data is removed within 30 days, except records we are required to retain by law (e.g. financial records for 7 years under Indian tax rules).

You can access, correct, export or delete the personal data you’ve entered into TrackFee at any time from Settings, or by writing to vetrivel.d@cloudstier.com. We will respond within 30 days.

TrackFee is used by schools to manage fee records. Student records belong to the school/organisation (not to the student). Only authorised school staff can access these records via the app.

We use TLS for all network traffic, encrypted databases, role-based access control, and mandatory authentication. No system is perfectly secure — if you suspect a breach, please notify vetrivel.d@cloudstier.com immediately.

We may update this policy from time to time. When we do, we will update the “Last updated” date above and notify account owners by email for material changes.
